Overview
Staff & permissions is how you control who sees what inside your club. A real role hierarchy — owner through member — maps to a per-club capability matrix so cashiers can run the till without touching analytics, drivers can update deliveries without seeing financials, and owners retain full control without micromanaging every toggle.
Add staff via invite, customise lower roles to match your operation, reset to defaults when you need a clean slate, and let each team member set their own digest preferences. Permissions are per club, not platform-wide — so your lounge and your retail counter can run different rules under the same owner account.
How it works
Role hierarchy
Six roles, one clear ladder
Owner sits at the top with unrestricted access. Admin, manager, cashier, driver, and member follow in descending authority. Each role has a default capability set designed for how that job actually works.
Higher roles inherit broader access
An admin can do everything a manager can, plus platform-level settings. A manager handles day-to-day operations. Cashiers focus on POS and check-ins. Drivers see only their delivery jobs.
Owners always retain full control
No matrix change can strip an owner of access. Even if every lower role is customised to zero, the owner account remains the ultimate backstop for your club.

Capabilities map to real actions
The matrix covers concrete permissions — view and manage orders, adjust inventory, approve members, access analytics, assign deliveries, run campaigns, and more. Each cell is a yes or no for a role at your club.
Every club gets its own matrix
Two venues under the same owner can run different setups. Your high-trust lounge might give managers analytics access; your retail counter might restrict it to owners only.
Changes apply immediately
Toggle a capability and the affected role loses or gains access on the next request. No deploy, no waiting — permissions are live the moment you save.
Customise and reset lower roles
Start from sensible defaults
Each lower role ships with a default capability set based on industry norms. Most clubs run defaults on day one and customise only where their operation differs.
Toggle capabilities per role
Need your managers to approve members but not touch inventory? Turn member management on and inventory off for the manager role. The matrix is granular enough to match real job descriptions.
Reset to defaults when needed
If customisation drifts too far or a new manager inherits a messy setup, reset any lower role to platform defaults in one action. Your custom toggles clear; the owner role is unaffected.
Staff CRUD & invites
Create a staff record with a role
Add a new team member from the staff panel — name, email, role assignment. The record exists before they accept, so you can pre-configure access ahead of their first shift.
Send an invite to activate
Leave the temp password blank to create an stk_… invite code (emailed when configured). The hire signs up with the invited email, then connects with your club ID and the code. Or set a temp password to provision the account immediately.
Deactivate when they leave
Remove or deactivate staff when someone moves on. Access revokes immediately — they cannot log in, scan members, or see delivery jobs after deactivation.
Per-staff digest preferences
Each person chooses their channels
Staff set whether they want Mo briefings via email, WhatsApp, dashboard notification, or not at all. Owners typically want everything; cashiers might want alerts only.
Preferences respect role boundaries
Digest content still respects the capability matrix — a cashier who opts into weekly briefings only sees data their role allows. Permissions gate content, not just actions.
Owners can recommend defaults
Set suggested digest defaults for new hires, but let each person adjust their own preferences over time as they learn what is useful on their shift.
