Inventory

Stock that reconciles itself against every sale, with the alerts that actually save you money.

Overview

Inventory keeps your shelf honest. Every sale through POS decrements stock automatically; every delivery, return, or write-off logs as a movement you can audit later.

You get live levels, alerts before you run out, valuation for owner reporting, and visibility into dead stock and shrinkage — the problems that usually hide between spreadsheet tabs until month-end.

How it works

Stock in — receiving a delivery

  1. Delivery arrives at the club

Manager or stock staff open the product in inventory and log an incoming movement with quantity received.

  2. Levels update immediately

On-hand quantity increases on the product record and dashboard. No waiting for end-of-day sync — the number staff see is current.

  3. Cost feeds valuation

Because cost price lives on the catalog, the new stock adds to inventory valuation automatically. Owners see cash-on-shelf without a separate calculation.

Stock out — every sale

  1. Cashier rings up a product at POS

The sale includes one or more catalog items. Staff do not manually adjust inventory — the connection is built in.

  2. Sale movement posts

Stock decrements by the quantity sold. The movement log shows sale type, product, quantity, and linked order.

  3. Low-stock check runs

If quantity drops below the reorder threshold, an alert fires with a deep link to the product so someone can reorder before the next rush.

Shrinkage and write-offs

  1. Staff finds damaged or missing stock

Expired units, breakage, or unexplained gaps get logged as a damaged or adjustment movement — not hidden in a verbal note.

  2. Reason is recorded

Each shrinkage entry carries a type and optional note. Patterns emerge over weeks: a supplier issue, a storage problem, or a specific shift.

  3. Valuation and reports adjust

On-hand drops and valuation reflects the loss. Owners see shrinkage as a line item, not a surprise during a physical count.

Returns to stock

  1. Member returns an item

Staff process the return at POS or log a return movement in inventory, depending on your workflow.

  2. Stock increments

Sellable units go back on the shelf; damaged returns log as shrinkage instead. The movement history shows both paths.

  3. Reports stay reconciled

The return links to the original sale in movement history so you can match refunds against on-hand counts.

Capabilities

  • Stock movements — incoming / sale / damaged / return — Every quantity change is a typed movement with timestamp and audit trail. Nothing moves silently.
  • Live product stock levels — Current on-hand quantity per SKU, updated in realtime as sales and adjustments post. Staff check availability before promising items.
  • Low-stock alerts with deep links — Per-product reorder thresholds trigger alerts that link directly to the product record. Reorder before you run out, not after a member walks away empty-handed.
  • Inventory valuation — On-hand quantity × cost price across the catalog. Owners snapshot cash tied up in stock for reporting and purchasing decisions.
  • Dead stock & sell-through — Identify slow movers and measure how fast products sell. Use both to plan markdowns, bundles, and smarter reorder quantities.
  • Shrinkage tracking — Log damaged, expired, and missing stock as explicit movements. See patterns by product, period, or shift instead of guessing where stock went.
