Overview

POS & commerce is how money moves through your club. Ring up a sale on any device, accept the payment method your members actually use, and know every rand is attributed to the right product, cashier, and channel.

You do not need a separate till system. Manual POS handles in-person sales; Stripe handles online cards; member wallets and gift cards keep prepaid value honest. Everything posts to the same catalog and inventory your team already manages.

How it works

Ringing up a sale

  1. Staff opens manual POS

    The cashier selects products from your catalog — search by name, scan a barcode, or tap favourites. Line items appear with sell price and quantity.

  2. Identify the member (optional)

    Scan a membership QR or search by name to attach the order to a member. Tier discounts, wallet balance, and loyalty points apply automatically when configured.

  3. Apply discounts and confirm total

    Add line or order discounts; the system calculates the final total. Staff see exactly what the member owes before taking payment.

  4. Take payment and close

    Select cash, card, EFT, crypto, or wallet. The order posts, inventory decrements, and revenue is recognised — attributed to the cashier who rang it up.

Member wallet checkout

  1. Member has prepaid balance

    Store credit or top-ups sit in the member's wallet. Balance is visible at checkout when the member is identified.

  2. Apply wallet against the order

    The cashier applies wallet funds — full or partial — against the total. Any remainder is collected via another payment method.

  3. Ledger updates both sides

    The wallet debits and the order records the payment split. You can audit every wallet movement without a separate spreadsheet.

Online payments via Stripe

  1. Member places an order online

    Through the app or web, a member selects products and proceeds to checkout. Stripe handles card capture securely — no card data touches your servers.

  2. Payment confirms and order posts

    On successful payment, the order moves to fulfilled status and revenue is recognised. Failed or abandoned checkouts do not inflate your sales numbers.

  3. Same catalog, same reporting

    Online orders use the same product catalog and stock rules as in-person POS. Analytics shows channel mix so you know where revenue comes from.

Gift card lifecycle

  1. Sell a gift card

    A cashier or online buyer purchases a gift card at a chosen value. The liability sits on your books until redemption.

  2. Redeem at checkout

    The recipient applies the gift card code or balance at POS. The order total reduces by the redeemed amount; remaining balance stays on the card.

  3. Track breakage

    Unredeemed balance is visible in reporting. Breakage — cards never fully spent — becomes a line item you can forecast, not a mystery in a drawer.
